Timeline / Policies & Procedures
Election Software: the HQ office manages national elections through associationvoting.com, a secure voting platform with unique voter IDs.
Open Positions: positions in each annual election are determined by the expiration dates of current Board members’ terms.
Candidate Eligibility: candidate eligibility is determined by the policy recommended by the Nominations & Elections Committee and adopted by the Board of Directors.
Candidate Solicitation: an email is sent to all members announcing the application period; announced in newsletter and on website home page; eligibility criteria & application linked on the SCC website. Board members assist in encouraging applicants for open positions.
Process:
1. Officers, Area Directors and Staff encourage interested candidates to run (through early June 2025).
2. Applicants self-nominate and return completed interest form to HQ by Wednesday, June 18, 2025.
3. HQ verifies the following by close of business Friday, June 20, 2025:
a. Membership status/eligibility
b. SCC service record (national)
c. Chapter membership – candidates may not be from the same Chapter represented by the remaining Area Director UNLESS no other candidates step forward
4. Nominations & Elections Committee is convened the week of June 23, 2025 to review all applicants and shall be provided with:
a. Membership status eligibility confirmation
b. Chapter of candidate
c. SCC service record (national)
d. Application completed by candidate (self-nomination form, online)
5. At the aforementioned meeting, the Nominations & Elections Committee shall:
a. For National Officer Candidates: review candidates for each national ballot position in conjunction with approved candidate criteria. A recommendation of eligible candidates (subject to affirmation by the Board of Directors) must be sent to HQ immediately following the meeting.
b. For Area Director Candidates: review candidates for each Area Director ballot position in conjunction with approved candidate criteria. A list of all eligible candidates should be sent to the current Area Directors immediately at the conclusion of the meeting for distribution to Area Councils.
Area Directors shall distribute the candidate list to their respective Area Council and schedule an Area Council meeting to discuss and affirm eligible candidates* for their Area. This meeting must take place and an approved candidate list be provided to HQ Office by Thursday, July 10, 2025.
*note, if an Area Council member (e.g. a current Chapter Chair) is running for an Area Director seat in the upcoming election, they should recuse themselves from the discussion and appoint an alternate current Chapter Officer (Secretary or Treasurer/Treasurer-Elect) to serve on Area Council for purposes of discussing and approving candidates for the ballot.
6. Board of Directors shall be sent the proposed slate of national Officer/Area Director candidates for affirmation at their July 11, 2025 meeting; if no meeting is scheduled within the time frame to meet these deadlines, the slate may be sent to Board via email for comment/vote.
7. Upon Board approval, candidates are notified within 24 hours as to their ballot position and their ballot information requested. Candidacy statement, headshot, and bio statement from each board-affirmed candidate is due to HQ by Monday, July 21, 2025 – NO EXCEPTIONS. Candidates who do not provide this information by the deadline shall be removed from the ballot.
8. Staff finalizes information and prepares electronic ballot (July 21-25, 2025).
9. Ballot delivered to eligible voting members by July 28, 2025, open for 30-day voting period through midnight ET on August 25, 2025.
10. For any seats for which there are more than 2 candidates, a run-off election will be conducted for the top 2 candidates securing the most votes on the first ballot. The second ballot, if needed, shall be open for a period of 14 days.
11. Results certified after ballot close by staff and sent to National Secretary for signature.
12. All candidates shall be notified of election outcome by the Nominations & Elections Committee Chair; press/announcement to follow.
